Key 14 – Empowering Employees to Make Improvements.


To embed improvements in the workplace, the improvements must originate and be implemented in the workplace. If an improvement is needed it is those nearest to those effected. If staff depend on others to make changes, often the changes are in keeping what the staff had in mind. It is best practice that those staff who want to make improvements are able to make the improvements themselves. In instances where this not practical they should be present when changes are made so that they can ensure the changes are correct. In these instances were staff implement improvements they also build an “Improvement Corner” to showcase the improvements. These improvement corners not only encourage improvements but show the process of making improvements.

Level 1

At level one there are active SGAs but they require other teams or external help to make their changes a reality.

  • Create Improvement proposal form for changes that require external support for them to happen.
  • Ensure any proposal forms are acted on quickly to ensure staff do not become disheartened.
  • Changes must be monitored and reviewed to ensure they produce improvements.
  • Create an improvement corner with the materials needed to support changes
  • Staff are encouraged to learn about the processes, understand and how to make changes.
  • Do not let staff run wild with changes. Changes should be implemented sequentially to ensure there is not too much disruption.

Level 2

At level 2 simple changes have started to take place. Staff who have identified changes that they want to make have begun to learn what needs to be done. They are also beginning to understand the process that they looking to change.

  • Workers at times of low work spend time on their projects. updating the Improvement corner. Over time these improvements become more complicated as both their understanding and skills improve.

Level 3

At Level 3 staff are making changes not just to processes but to systems, e.g In EMIS, protocols.

  • Ensure Protected time is used to improve skills. Ensure full use of resources from online training and provided in-house training.
  • Create displays for staff to see what can be changed and improved. Provide examples of changes and how they could be made. This encourages further ideas/ improvements.

Level 4

Staff can make changes to systems both process and practical, e.g software.

  • Offer training for AI, Office software, Task management software.
  • Allow staff to fully take advantage of this training. These solutions are often more practical and therefor more successful.
  • There is a practice wide interest in using advancing technology.

Level 5

Staff are using AI and have implemented their own bots providing different solutions. Staff are able to implement improvements when and where they are needed.

  • To ensure level 5 is maintained, technology seminars are held to keep the practice up-to-date with the latest technology.
